Posting jobs to assignment groups lets you easily post a job on a certain day and in the manner you choose. This is a convenient way, think of it as a shortcut, to post jobs in a routine or consistent fashion. For example, let’s say we wanted to create a job posting that posts on the 5th of each month to a group of officers, where assignment is determined by Seniority. Job Assignment Groups let you do that, and you don’t even need to wait until the 5th to post it. Once you’ve set it up, it’s done for you.
If you set up a job for a specific assignment group, should an officer call off of that job, the posting will seek to fill that open job with an officer from within your assignment group. The job will not be posted to all Officers.
Using Assignment Groups is a two-step process.
Create the Assignment Group
Groups you create and manage in this section are not the same as groups of officers. In this area, you create groups of job postings that you can use as an efficiency tool that you can select when posting a job, instead of filling out these sections each time you post a new job.
- After logging into RollKall, click the dropdown arrow to the right of your name in the upper right corner; then select Agency Settings.
- In the Officer Approval & Assignment Groups section, click New Group.
- Enter a new group Name.
- Select whether you want to post the job to all officers in RollKall, all of your officer groups, or a specific group of officers.
- Select whether you want to post the job immediately or at a specific date and time. If you select the latter, fill in your preferences.
- Finally, select how officers will be assigned to this job group. Click here to view a page with videos that cover the various assignment types.
Following are the options.
Assignment Option | Description |
---|---|
Assign Manually | Officers apply and appear in a list where the coordinator can select the officer they wish to work the job. |
Based on first come first serve rule |
First officer to apply for the job is assigned the job. You can choose the following options: No limit: True first come, first served. Limit # of Jobs: Apply a limit to the number of jobs an officer is assigned to, by day. |
By hours |
The officer with the fewest hours is assigned the job. Sign up period: How long the job is posted and officers can sign-up before the job is assigned. Time Period To Consider: The number of days the system looks over to calculate the number of hours the officer has worked or is scheduled to work. For example, entering 30 days means the system looks back over the last 30 days and forward 30 days to make its calculations. |
By number of jobs |

Create the job and assign it to the Assignment Group you just created
- Create the job you want to assign to the assignment group or locate the one you have already created, as appropriate.
- Open the job's details and click Post Job in the upper right corner.
Note: If the job is recurring, decide whether you want to apply this selection only to this job or all in the series; then click Continue. - In the Post to Assignment Group section at the top of the page, select Yes.
- In the dropdown, select the Assignment Group you want to assign this job to.
- Click Save.
At this point, RollKall will post the jobs in the series per the parameters you set for the entire group of jobs. And, in the future, you can reuse these groups for other assignments as appropriate and save yourself the time of manually making these selections.
