Some Clients, especially those who are new to hiring officers for off-duty work, may want an estimate of how much a job will cost. Some may even want to approve the estimate before the job can be posted. This article covers how you can create and send a job estimate to a Client. Sending estimates is only needed if Clients request or require it.
Create and Send Job Estimates
Before creating an estimate, you will need to have the following information about the job, at minimum:
- Officer pay rate
- Jurisdiction involved in the job
There are three different situations to consider, and it's recommended that you discuss the option you prefer with your Client(s) so they know your preference prior to them creating jobs for your organization.
Client does not want an estimate
In this case, while creating your recurring job or event, do the following:
- Create the job.
- Click Save Job.
Client requests a job estimate, but doesn't require approval in order for the job to be staffed
In this case, while creating your recurring job or event, do the following:
- Create the job.
- In the Estimate area, ensure you select the Jurisdiction involved in the job so any fees display.
- Click Send Estimate.
- When the Send Estimate page opens, select No under Require Estimate Approval.
- Select who in the Client's organization should receive the estimate.
- Select how you want to assign officers to the job.
- Click Send.
- Staff the job as needed.
The Client will receive an email with the estimate for informational purposes.
Client requires job estimate approval prior to the job being staffed
In this case, while creating your recurring job or event, do the following:
- Create the job.
- In the Estimate area, ensure you select the Jurisdiction involved in the job so any fees display.
- Click Send Estimate.
- When the Send Estimate page opens, select Yes under Require Estimate Approval.
- Select who in the Client's organization should approve the estimate.
- Select how you want to assign officers to the job.
- Click Send.
- Staff the job as needed.
The Client will now receive an email with the estimate and see the job in their portal and can approve or decline as appropriate. Continue to the next section for details on how to manage job estimates you've created.
Manage Job Estimates
Once the Client approves a job estimate, it moves to the Unstaffed tab on the Jobs page, where you can staff it.
To view job estimates that are pending Client review and that have been Denied by the client, click Estimates on the Jobs page, just under the top nav bar.
Here you can see the Pending, Denied, and Approved tabs, where you can click on the jobs that appear there to find more details.
