- In the Name field, enter your agency's name.
Note: The Jurisdiction field is pre-filled by RollKall. - Select your agency's default Timezone.
Note: All new staff members you create will be created with their timezone set to the zone you select here. - Select your Organization's Billing Contact. Their name will be available on this dropdown to choose from once they have been added as a User.
- (Optional) Enter a general email for the organization to accept inquiries from officers. This email address is not externally shared.
- (Optional) The Payment Details text box is not externally shared. This is only internally used in case certain payment conditions should be kept record of.
Officer Approval & Assignment Rules
- Make the appropriate selections for your agency:
- Select whether your agency should Require Annual Verification Process. This will prompt your Supervisors to vet their Reporting Officers each year. Once the Supervisors vet the Officers, the Administrators will need to verify the Officers as well.
- Select whether you want officers to be able to Allow Officer Profile Sharing. Turning this feature on, provides a unique QR code in the Officer Profile on the app. This unique QR code connects the Client Prospect to the agency. This is a great networking tool!
- Select whether you want to Prevent officer assignment override. To prevent Coordinators from reassigning Officers to assign them to other jobs, selecting this option ensures only Administrators can perform the reassignment.
- Select whether you want to Lock all officer profiles. This feature will lock 3 elements on the Officer Profile from within their Mobile application: Rank, PID and Service start date. Only Administrators can make these changes to officer profiles, if selected.
- In this area, you create groups of job postings that you can use as an efficiency tool that you can select when posting a job, instead of filling out these sections each time you post a new job. Admins and Internal Coordinators are able to create Assignment Groups. See the roles matrixfor more details on the various user types and what they can do within RollKall.
- In the Assignment Groups section, click New Group.
- Enter a new group Name.
- Select whether you want to post the job to all officers in RollKall, all of your officer groups, or a specific group of officers.
- Select whether you want to post the job immediately or at a specific date and time. If you select the latter, fill in your preferences.
- Finally, select how officers will be assigned to this job group. Click here to view a page with videos that cover the various assignment types.
Following are the options.
Assignment Option | Description |
---|---|
Assign Manually | Officers apply and appear in a list where the coordinator can select the officer they wish to work the job. |
Based on first come first serve rule |
First officer to apply for the job is assigned the job. You can choose the following options: No limit: True first come, first served. Limit # of Jobs: Apply a limit to the number of jobs an officer is assigned to, by day. Limit to “X” rounds: Set a limit on the number of rounds. For example, entering 30 days means the system looks back over the last 30 days and forward the next 30 days to make its calculations. The Year to Date option allows RollKall to factor in all of the hours worked year-to-date. If you select Rolling 365, RollKall factors in all of the hours worked the year prior to the job being posted. |

All jobs can be seen regardless of staffed status. If this is not selected, jobs created by the Agency and jobs where Officers belong to the Department are visible in the Active, Upcoming, and Completed jobs tabs.
